We are currently working with a well respected East London Law Firm who are seeking an experienced Office and Facilities Manager to join their team.
Duties will include but are not limited to:
Office Services
1. Opening, stamping and distributing post daily;
2. Franking and sending post daily, to include daily trips to Post Office for all franked (and other) mail concerning special deliveries/certificates of posting etc;
3. Scanning post to fee-earners;
4. Bulk scanning;
5. Bulk copying;
6. Binding documents and laminating documents;
7. Ordering stationery and office supplies and dealing with deliveries of same;
8. Managing kitchen supplies – tea coffee milk etc;
9. Sending files to dead through our off site Archiving Company and keeping archive records of dead files;
10. Requesting archived files back from Archiving Company and arranging dates for collections/returns of files;
11. Liaising with Archiving Company on collection of Office Shredding bags;
12. Ensuring 4 boardrooms are tidy and well-stocked first thing in the morning and periodically through the day following meetings;
13. Ensuring photocopiers on all three floors are sufficiently stocked with paper and toner cartridges; dealing with copier issues and liaising with copier company.
14. Dealing with paper towel dispensers in both toilets and kitchen area;
15. Ordering cleaning supplies when needed and liaising with Contract Cleaners;
16. General Office Services enquiries sent by email (internal and external);
17. Distribution of incoming Faxes;
18. Arranging Couriers where necessary.
19. Liaising with printing company re stocks of headed paper and business card proofs
Facilities Management
1. General light building maintenance tasks, i.e. changing light bulbs at the office;
2. Liaising with contractors to obtain quotes and deal with buildings maintenance; dealing with landlordβs property agent;
3. Dealing with Intruder Alarm and Fire Alarm system at both sites;
4. Programming and dealing with Boiler and its maintenance and repairs;
5. Fire equipment maintenance;
6. Able to deal with "emergencies" at premises by phone (inc out of hours) – ad hoc – liaising with Key Holding Company;
7. Daily visit to site for facilities management purposes.
Successful applicants will have gained previous experience in a similar role preferably within the Legal Industry.
